1. Overtime Usage Fee on Residual Leases

Residual Leases (leases without a conditional sale signified by a Purchase Option) require an Overtime Usage Fee on the Equipment Schedule, as well as the number of hours.

Reasons of Importance:
  1. Diminished Residual Value
      • If hours and fees are not properly recorded, and usage exceeds, the lift will not be worth the same residual value quoted either on the CRM quote or at the time of funding
  2. Mark Against Perfect Letter
      • If missing on Equipment Schedule, a mod will need to be created and signed by the customer
  3. Delay in Fundings
      • Due to the need for a signed contract modification, if there is trouble getting ahold of the customer, the deal will be held until the signed modification is received.

2. Refinanced Units

Units to be refinanced with TICF must be paid off and floored before Funding.

*Attention (Dealers Refinancing Unit to the Same Customer):
  • If the dealer is refinancing a unit with the same customer, THE DEALER SHOULD NOT GROUND THE UNIT. Please be advised that the dealer must obtain a payoff from TICF_Payoff_SM@toyotacf.com (which includes all open receivables). This will prevent the customer from having open receivables due on two (2) accounts for the same unit. If open receivables are not cleared on a refinanced unit, the customer is subject to collection activity on the open amount up to and including possible repossession.
Steps for Refinancing with TICF:
  1. Request Dealer TQ Payoff from TICF Payoff Team
      • All requests can be sent to the Payoff Inbox
      • Please do not request Customer Payoff Quote unless the customer wants to buyout their current unit for themselves
  2. Submit Dealer TQ Payoff to the DFS Ops team (ticf_DFSOPS_SM@toyotacf.com) along with a Wholesale Financing Request Form
      • Please reach out to the DFS Ops team if you need the required Wholesale Financing Request Form
  3. Once approved, submission will be forward to our Accounts Receivable team to be floored within 48 hours
      • It is advised to send in all requests 30 days prior to submitting a refinanced deal to Funding in order to allow time for processing and not have a funding delay

3. Referencing the TMHU Invoice on New Units

Please see the below reasons that the TMHU invoice can provide a more accurate funding.

General Uses:
  1. Capture the Asset Base Cost
  2. Capture of both Model and Frame number
    • This is helpful when it comes to Wholesale Floorplan Payoff
  3. Capture of Truck Number as a Single Unit Identifier, which allows TICF to accurately review qualifying units for certain programs.

4. Tax Exemption (How To) Document

The sales tax department must collect Valid Exemption Certificates to protect TICF under audit. As the taxpayer, TICF, in a legal challenge has the responsibility of proving the exemption is valid. If the information on the certificates is incomplete, an auditor can disallow the certificate.

Most exemption/resale certificates usually must show at least the following information:

  • Name of Seller/Vendor (TICF)
  • Name and Address of Customer/Lessee/Purchaser
  • Registration Number or Seller’s Permit of Purchaser
  • Description of Business of Purchaser
  • Description of equipment being purchased
  • Reason for exemption (exemption claiming)
  • Date – on or Before Date of Sale (Unless it is a Blanket exemption certificate)
  • Signature of Authorized Representative

There is no one certificate that every state will accept, although most of this information is required by them all.

5. Landlord Waiver (Warehouse Products)

  • Landlord waivers are required on all warehouse product deals. This document can be generated in TC3 and must be provided to receive perfect letter points.
  • Please ensure warehouse product info is entered in the fields below on the Waiver form.
