TIPS — PERFECT LETTER

How can I perfect my funding packages and become a top coordinator?

Did you know these are the top 5 commonly missed documents that delay a funding?

1. PG/CCG/RV Guaranties

    • Guaranties are the most commonly missed document, especially the RV Guaranty.
      • TIP: Guaranties can be found and created by clicking “Add Documents,” selecting the check box for the specific guaranty, adding the document and then creating and including it in your Funding Package once it has been executed.
    • Types of Guaranties:

      1. Personal Guaranty
        • Signed by the Individual responsible for personally guarantying an amount related to financing
      2. Continuing Corporate Guaranty
        • Signed by the Individual on behalf of the Dealer responsible for guarantying an amount related to financing
      3. Residual Value (RV) Guaranty
        • Signed by the Individual on behalf of the Dealer responsible for guarantying an amount related to the difference between the Program’s calculated Residual Value for a unit versus the Dealer’s request for a certain Residual Value based on their own calculation
    • When a dealer requests for a certain RV that is higher than the program’s calculation, TC3 generates a link to create this document and have executed for the difference between the program and requested RV
      • TIP: Guaranties can be the most time consuming delay of a funding if a request has to be sent to an RSM or Credit to approve adjusting the amount financed in an attempt to eliminate the need to execute a RV Guaranty

    • The most common miss on PG/CCG Guaranties is the Witness Signature
      • Please ensure you have someone who can sign off on the Witness Signature to ensure the deal does not get returned for missing Documentation

2. Itemized Dealer Invoice

    • This item is needed:
      • Determine equipment location based on the Ship To address on the Invoice and make sure it matches the Contract
      • Ensure the serial number matches the manufacturer’s invoice, UCC Filing and the Equipment Schedule

3. Tax Exemption Form

    • Most commonly missed Items on the Certificate:
      • Section 4 — Identifying the type of business for the equipment being financed
      • Section 5 — Identifying the reason for exemption for the equipment being financed
      • Incorrect Legal name for the entity, usually related to a recent name change
      • Single Use checkbox

4. Sales Tax/Use Form

    • Identifies how the taxes will be financed if the cost is upfront
    • Second most commonly missed item in a Funding Package
      • Usually results from the Dealer thinking that taxes will be streamed monthly, when in fact the taxes are upfront

5. BOL

    • The Bill of Landing (BOL) helps us determine the proper billing start date if the invoice or contract does not specify the date of delivery. If we do not have a delivery date, an error occurs and can delay Funding depend on the responsiveness of the dealer.

TIP:
If borrower has been in business less than 5 years, please submit applications on equipment instead of as a credit line.

TC3 ENHANCEMENTS

Announcing New TC3 Enhancements

TC3: Easy Button Enhancements

    • Incentive types now automatically loaded into TC3 via the Easy Button (5/25/21)
    • Populated Used Toyota Equipment information into TC3 via the Easy Button (7/26/21)
    • Single UID – Incorporated MH VIN and Truck numbers into TC3 and SAP on a go-forward basis. Dealers no longer need to enter serial and VIN Toyota equipment (7/8/21)

Future Billing

    • If a customer has a credit on their account, TICF will automatically allocate it to any open balance or future billing item(s) (7/12/21)

TC3: Self-Service Password Reset

    • Enabled all TC3 users to reset forgotten passwords or change their passwords without contacting TICF (7/15/21)

TC3: DocuSign Phase 2

    • Release 1: Added new ACH Authorization form to Digital Transactions in TC3 (7/22/21)
    • Release 2: Added all equipment contracts and supporting documents to TC3 (12/17/21)

TC3: Customer Search Enhancement

    • Release 1: Added a duplicate record flag in TC3 to prevent the creation of duplicate customers (8/21/21)
    • Release 2: Enabled dealers to search for existing customers in TC3 to reduce dealer effort and prevent duplication of records. (TBD)

Electronic Invoice Presentment and Payment (EIPP)

    • Digital portal for customers to view and pay invoices, view payment history, and much more
    • Phase 2 – Toyota Equipment (TBD)
